Terms & Conditions
1. Bookings & Payment
Full payment is required at the time of booking to confirm and secure your media session. All prices are subject to VAT at 20%.
2. Cancellations & Rescheduling & Refunds
Cancellations or reschedule requests must be made at least 48 hours in advance. Late cancellations or no-shows may be charged in full. Rescheduling is subject to availability. If some unforeseen circumstance arises and we cannot work on your project, we will offer you a full refund. If you wish to change the date of your booking we require a minimum of 7 days notice,
3. Studio Use, Conduct & Parking
Clients agree to arrive on time (ideally 10-15 minutes early) and conduct themselves professionally. There is space for up to 6 cars to park for free outside of our studio. Sessions that overrun may incur additional charges and may be stopped if they impact other bookings. Abusive, discriminatory, or inappropriate language or behaviour will not be tolerated towards our staff. Behaviour, whether in person or online, that may reasonably be considered to damage the reputation of the company or studio will not be tolerated and may result in corrective action, including termination of services. If at any time our staff feel threatened or believe that studio equipment or property may be at risk, the session will be terminated immediately. In such circumstances, our standard cancellation policy will apply, and no refund or media content will be issued.
4. Digital Media Creation
All quality and technical specifications will be agreed in advance of the session. Digital media services are limited to what is outlined in the agreed booking scope and detailed on the invoice. Any additional content creation or changes outside the agreed scope, or exceeding the original booking, will be quoted and charged accordingly.
5. Editing
Editing services are limited to what is outlined in the agreed booking scope and detailed on the invoice. Clients are required to clearly specify all requested changes and provide accurate timecodes where applicable. Any revisions or alterations outside the agreed scope of work will be quoted separately and charged at an hourly rate.

5. Content Ownership
Clients own the final paid-for content not the RAW digital media content (unless agreed with and paid for additionally). Greenwood Media Solutions retains the right to withhold content until full payment is received. All media work remains the property of Greenwood Media LTD until full payment has been made, only when the invoice has been paid in full will any work be sent to you on a hard drive or for digital download. RAW digital media content is available on most projects, please notify us if you require this as a separate invoice will be raised to cover the additional costs.
6. Equipment & Liability
Clients are responsible for any damage caused to studio equipment or property. Greenwood Media Solutions is not liable for loss of data caused by factors outside reasonable control.
7. Filming & Property
Filming is limited to our studio areas only. Recording or photographing personal property or non-studio areas is not permitted without prior consent from the owners.
8. Health, Safety & Children
Children are permitted only with prior approval and must be supervised at all times. All clients agree to follow all health and safety guidance while on the premises.
9. Social Media
From time to time, behind-the-scenes content may be captured during podcast sessions for promotional purposes. If you prefer not to appear in any social media content, please inform us in advance and we will ensure no images or footage are shared online.
10. Disputes & Communication
In the event of any dispute, both parties agree to attempt resolution through direct communication (e.g. Phone) before taking further action. All communications will then be recorded digitally.
12. Acceptance
By booking a session with Greenwood Media Solutions, clients confirm they have read and agreed to these Terms & Conditions.
